How to complete the Manual Order Form

Instructions for completing the Manual Order Form to request land records not available to order in Land Record Search.

You only use the Manual Order Form if:

  • you can't find a record we hold in Land Record Search
  • you've been told to use the form in Land Record Search.

Step 1: Have your card and email address ready

Make sure you have your credit or debit card and email address nearby to complete the order.

We accept:

  • Visa and Mastercards
  • debit cards
  • Prezzy cards.

Step 2: Choose the type of record you want to order

You have 3 options to select:

  • Title
  • Survey plan
  • Instrument (document) or other record.

Types of land records

Select the type you want to order. You can only order 1 record at a time.

What you need to do next depends on the record you select.

For a Title

If you selected Title you'll be given 3 options.

Select 1 option from: Current with diagram, Historical, or Guaranteed Search Record of Title.

For a Survey plan

If you selected Survey Plan, enter a Survey number or legal description if you have it. For example: DP 123456. 

Please include any letters before or after the number.

For an Instrument or other record

If you selected instrument, you must enter a Title number.

Titles are documents that show the legal ownership of land or property. You can find the title number at the top of a title, or in some survey plans or legal descriptions.

Next, enter the instrument or record number.

Don't have this number? You may first need to order the related title before ordering an instrument.

Type of document or record

It's optional to enter the type of document or record in the Type of document or record and any other identifying or supporting information field. For example: mortgage, transfer or identifying information. 

However, it might help with our search.

Step 3: Add the full address for the property

Enter as much information as you can about the property. 

Add any information in the Any other identifying or supporting information field to help us with our search. For example: post codes, building names, previous owners, description of the property.

Step 4: Add your details

Under Your details enter your name, the email address you wish to receive your order, and your phone number.

Step 5: Select Place an order

Once you've reviewed your order, select Place an order.

You'll be taken to the payment screen.

Step 6: Enter your payment details

Enter your card details into the payment screen.

Select Submit.

Once processed a page confirming your payment will appear with your order number.

An email will be sent to you confirming your order.

Your order, if available, should be delivered to your email as a PDF within 3 working days. 

If we can't find the record we may contact you for more information, or organise a refund.
