Release

0:05 Once an instrument has been fully certified and signed,

0:08 it's ready to be released in due course by

0:11 (a user from) the firm that has been set up.

0:16 To release a single instrument from the instrument and roles page,

0:20 either use the three dots icon at the end of its row and select Release instrument,

0:30 or use the left-hand navigation bar and select Release.

0:35 This takes you to the Release instruments page.

0:40 On the Release instruments page, you will only see the instruments

0:43 that your firm is responsible for releasing.

0:46 You can see the NoC and instrument status on this page,

0:50 which might remind you of the need to go and mark the NoC ‘Ready to Send',

0:54 or that the instrument is not fully signed so not yet able to be released.

1:00 Check the box next to the instrument or instruments you wish to release.

1:09 Then select the Release Selected button.

1:15 A Confirm Instrument Release window will display.

1:19 Review the instrument list to be released.

1:23 Either select the Release Instrument button to confirm the release of the instruments,

1:27 or the Cancel button to cancel the release.

1:32 Once released, the checkboxes beside the instruments will change to a green tick

1:38 and the status updated to Released.

1:41 To undo the release of an instrument, for example when you want to edit the instrument,

1:46 click Revert to signed.

1:50 Once all the instruments have been released,

1:52 the dealing can be submitted by the submitting firm.

Submit

1:57 To navigate to the Submit page you can either use the left-hand navigation bar and select Submit,

2:05 or from your Landing page, use the three-dot icon at the end of the dealing row

2:10 to select Submit Dealing.

2:15 The Submit Dealing page will display.

2:18 The submit business rules will run a set of validations

2:21and will display a report at the top of the page with any failures or warnings.

2:26 One important thing to note on this page is that any changes made on this page

2:31won’t be saved if you navigate away from it.

2:34 Let’s have a look at the page in more detail.

2:37 Your dealing information will have come through so you can check the details.

2:42 In the Dealing fee details section will see the fees your firm is responsible for.

2:48 The dealing number and client reference

2:51 (if you set one up) will be used on your firm’s fees report.

2:56 There’s a Notes for fees report field where you can add any additional notes.

3:02 To view these after the Dealing has been submitted, you need to generate a fees report.

3:06 which, at the date of this video, is only available in Legacy Landonline.

3:11 If your client’s bank or lender has subscribed to our Notice to Mortgagee service,

3:16 you will need to type in the ‘Bank client reference’ they have supplied you with.

3:19 This mandatory field only shows when relevant.

3:24 When the dealing is registered, a copy of the Registered Mortgage

3:28 and the updated Record of Title will automatically be sent to the lender.

3:33 Use the Post-registration search button to indicate

3:38 if any post-registration searches are required.

3:41 The button will usually default to Yes,

3:44 and if you change it to No, the sections to complete will disappear.

3:56 If you do require any search copies to be emailed to you after registration,

4:01 review the Email subject line.

4:04 It will automatically populate (and default to) the words Post Registration Search

4:09 followed by any client reference number and then the dealing number.

4:14 You can change the details in this field if you wish.

4:19 In the Order records of title, by default

4:23 all the Records of title will display and be selected.

4:27 Use the checkbox to identify which records to select.

4:31 If it is a protected title, it won’t display.

4:35 There is an optional place to add additional client reference details,

4:40 though, because the Post-registration searches are batched by client reference,

4:44 customising this field may mean you receive searches in different emails.

4:50 The last section we’ll look at is Order instruments.

4:54 Some instruments such as Transfers are automatically unchecked,

4:57 but a copy can be ordered if needed.

4:59 Use the checkboxes to select the instruments you wish to order.

5:05 Some instruments will not appear at all, such as Discharge of Mortgage.

5:10 We’re now ready to submit the dealing – select the Submit Dealing button.

5:17 A pop-up summary of the fees associated with the dealing will appear.

5:21 One point to note is that these fees are indicative only.

5:24 The final fees could change, for example if an instrument is withdrawn from a dealing.

5:31 You can either Cancel to cancel this operation,

5:34 or select Yes, submit dealing to submit the dealing.

5:37 If the dealing status is Auto, a green tick indicates it is successful,

5:44 and the dealing will be removed from your active dealings list.

5:47 If the dealing status is Lodge or Queued,

5:51 the dealing will still show up in your active dealings, with an updated status,

5:54 but you will not be able to open or edit the dealing.
